The Challenge

Handling the dynamic nature of the garment business requires granular control. As the company expanded into both wholesale distribution and direct-to-consumer retail, they faced several core operational hurdles:

  1. Complex SKU Management: Handloom garments involve huge SKU volumes with highly evolving attributes (sizes, colors, fabrics, and intricate designs).
  2. B2B Distribution Friction: Managing a growing network of field salespersons required real-time order tracking, credit limit enforcement, and streamlined handling of Post-Dated Cheques (PDCs). Sales reps lacked on-the-go visibility into pending payments and past distributor orders.
  3. Retail Floor Blind Spots: The retail chain required seamless integration of multiple payment methods, floor-level inventory tracking, and quick counter start/end reporting.
  4. Quality Control & Feedback: The management needed a way to track slow-moving vs. fast-moving items, capture granular customer feedback for floor merchandisers, and manage rigorous quality inspections to handle weaving rejections.




The Solution

1. ERPNext (The Back-End Core)

ERPNext was deployed as the central nervous system for all operations.

To empower the newly launched retail spaces, the company integrated NeuPOS with ERPNext.

Mastering Complex SKUs and Dynamic Inventory

How ERPNext Solves It:

  1. Item Templates and Variants: Instead of creating a unique, isolated item for every single product, ERPNext uses a parent-child structure. A user creates an "Item Template" (e.g., Traditional Kasavu Saree) and defines Item Attributes (e.g., Color, Border Width, Fabric Blend). ERPNext automatically generates the specific Item Variants (e.g., Kasavu Saree - Gold - 2 inch - Cotton).
  2. Multi-Level Warehousing: The system maps the physical reality of the business to the software. If a field agent attempts to punch an order that pushes a distributor past their limit, the system automatically blocks the Sales Order or triggers a workflow requesting managerial approval.

  3. Payment Gatekeeping: If 100 dhotis arrive but 15 fail inspection, ERPNext only moves 85 into the "Available Stock" warehouse. Consequently, the automated Purchase Invoice generated for the vendor will only reflect the 85 accepted units, entirely automating dispute resolution and preventing overpayment.
